Terms & Conditions – Expedition Dinosaur & Padraig's Historical Workshops.
The Supplier is: Expedition Dinosaur & Padraig’s Historical Workshops.
The Sponsor is: The company or individual booking/hiring the supplier.
Bookings
Once a booking is confirmed (verbally, by email, SMS, social media, written contract or via any other medium), both parties are bound to deliver the agreed service. We will provide what we promise; you will pay as agreed.
Cancellation fees may apply, depending on costs already incurred and the timing of cancellation. Confirmed bookings result in us incurring costs such as rental, media, marketing and turning away other work. These costs will be chargeable in the event of cancellation, including for force majeure.
Copyright
All images, text, videos and concepts on this website and social media are the property of those who have granted permission for use under Expedition Dinosaur and Padraig’s Historical Workshops. Permission does not extend to others. Please ask before using any images. Where possible, we have credited individual photographers, videographers and events.
Insurance
We hold our own Public Liability Insurance. However, the sponsor is responsible for event insurance and PLI to cover loss or damage to our property caused by their staff or the public. For exhibitions, the sponsor must hold “nail to nail” all-risk insurance.
General
Use of this website is governed by the laws of England and Wales.
Booking Agreement – Additional Terms
Good Faith
Both parties agree to act in good faith, communicate fully and respond reasonably to requests for flexibility, with the aim of ensuring a safe and successful event. These terms apply to all bookings.
Sponsor Responsibilities – Indoor Events
Prior to booking, please ensure your venue provides:
– Secure parking for a car and trailer
– Adjacent unloading area (suitable for moving large, heavy items over a short distance)
– Sufficient door access with no stairs (lift access only)
– Internet/WiFi connectivity (when required)
– 1.5–2 hours for setup and the same for dismantling
Sponsor Responsibilities – Outdoor Events
Sponsors must provide a suitable pitch allowing for an awning with pegs and ensure the display area is safe and secure, as agreed during booking.
If poor weather or other circumstances beyond our control prevent displays or demonstrations, the agreed fee remains payable as long as the supplier has turned up to the venue. The supplier reserves the right to cancel attendance if conditions are unsuitable for an outdoor museum/event display. Full fee payment still applies.
Payment Terms
We are a small organisation who relies on prompt payment to pay staff and expenses. Sponsors should ensure no delays to the payment schedule and advise us early of any necessary actions. Sponsors will be notified if VAT is applicable.
Late payment fees will be subject to the suppliers statutory right to claim interest at 8% above the Bank of England base rate, along with the £40 compensation fee for debt recovery costs under late payment legislation.
New sponsors may be required to pay in full in advance. Any pre-delivery payment structures will be agreed beforehand.
The quoted price is the final price. Additional items outside the agreed package will incur extra charges.
Sponsors are responsible for ensuring vehicle access has been approved by relevant authorities; any parking penalties will be charged to the sponsor.
Supplier Insurance
We will indemnify sponsors against loss, damage or liability suffered as a result of our acts, neglect or default. We hold Public Liability Insurance.
Insurance – Sponsor
The sponsor is responsible for insuring their event and the environment in which the supplier provides their services. This includes cover for cancellation due to any reason, as well as loss or damage to supplier property. The sponsor must also hold suitable Public Liability and Employer’s Liability insurance to cover their own actions and those of the public (excluding supplier actions).
Termination
The date of commencement is the date the first costs are incurred or contracted, not the event date.
The sponsor may terminate a booking in writing at any time. Cancellation charges apply as follows:
Notice Period | Cancellation Fee (working days).
| More than 60 days | 10% of total fee + expenses already incurred |
| 60 days or more | 25% of full fee, or all expenses incurred + 25% of subcontractor fees |
| 30 days or more | 50% of full fee, or all expenses incurred + 50% of subcontractor fees |
| 14 days or less | 100% of full fee |
Notices must be sent by email, SMS or social media messaging only.
Cancellation Due to Weather
If adverse weather affects delivery, the supplier, sponsor and any relevant health and safety representative will assess viability. Safety of personnel, the public and property is paramount.
If the event is cancelled, full fees remain payable. The supplier will remain on site and, if weather improves, will attempt to reschedule. Deposits are non-refundable. A proportion of prepayments may be refundable if they exceed the cancellation fee.
Rescheduling
Rescheduling depends on availability, timing of cancellation, work already undertaken and non-recoverable expenses. Additional fees may be required before rescheduling is confirmed.
Force Majeure
If a national emergency, war, government regulation or other cause beyond reasonable control makes the event impossible, the agreement will be terminated. The sponsor will be liable only for expenses already incurred (including management, labour, transport, travel and accommodation at full fee). Alternatively, both parties may agree to a reasonable postponement or rescheduling, with duplicated costs to be covered.
Illness
The supplier will deliver the event as agreed unless prevented by illness or other circumstances beyond reasonable control. In such cases, the supplier will inform the sponsor and assess viability. If the event cannot proceed, the sponsor will be liable only for expenses already incurred. The supplier will seek to rearrange the booking where possible.
Health and Safety
Both parties will co-operate to comply with Health and Safety regulations, each taking responsibility for their own areas, including any overlap. The supplier will complete a risk assessment for their service and reserves the right to withdraw without penalty if the task is deemed unsafe.
If the sponsor has health concerns regarding populations, the supplier will agree to a reasonable postponement or rescheduling at a mutually agreeable time. Any costs already incurred that will need to be duplicated will be charged. If rescheduling is not possible, cancellation terms below apply.
Bankruptcy
Either party may terminate this agreement immediately by written notice if the other party enters bankruptcy, has an administrator appointed, passes a resolution to wind up, or makes an arrangement with creditors. The supplier will seek to recover costs already incurred for delivery carried out.
Event Accreditation and Intellectual Property
The sponsor may use images, videos and recordings of the event for publicity purposes and will provide the supplier with access to these materials at no cost for their own publicity (including press, TV, internet and all other media).
Both parties will credit all images to the supplier, photographer and individual where appropriate. Individual participants will not be named without consent.
The sponsor must use the supplier’s logos on publicity materials and, where agreed, include appropriate contact details. All marketing should acknowledge Expedition Dinosaur or Padraig’s Historical Workshops and link to their social media pages or website.
Any event or workshop created under this agreement remains the intellectual property of the supplier.
Confidentiality
Both parties shall not disclose to any third party any information arising from this contract. The sponsor agrees to a confidentiality clause with sub‑contracted suppliers. All communications regarding future work or fees for sub‑contractors must go through the supplier.
Anti-Discrimination and Protection
The supplier will not discriminate on grounds of race, creed, age, ability, sexuality or any other basis. All individuals will be treated with respect, fairness and equality.
Where services involve vulnerable people, the supplier will ensure suitable staffing and compliance with child protection standards. The sponsor will assist by notifying the supplier of any special issues relevant to delivery of the service.
Severance
If any part of this contract becomes legally ineffective or unenforceable, the remainder of the contract remains valid.
Miscellaneous
This agreement supersedes any previous understandings or agreements between the parties relating to the event or workshop. It may not be amended except in writing, signed by authorised representatives of both parties.
Exhibition contracts are subject to an additional set of terms and a separate contractual agreement.
Confirmation of a booking is taken as an implicit signature of this contract, unless otherwise agreed in correspondence or by signed contract.
